The Malaria control and Elimination partnership in Africa (MACEPA), a program at PATH, is a leader in the fight to end malaria illnesses and deaths. We refine and develop tools and approaches, invest in national programs, and build the data that empower national governments to pursue elimination. MACEPA is partnering with countries that have achieved major reductions in malaria illness to develop evidence – based approaches to eliminating the disease. The approach involves optimizing coverage of prevention, diagnosis, and treatment interventions, and advanced surveillance methods to track and threat remaining cases.

We seek to recruit a program Assistant who will be responsible for providing program and operational support to PATH/MACEPA staff. She/he will assist in organizing resources to support logistical and accommodation requirements, Schedule and take minutes of key meetings when requested, assist in travel arrangements of staff and outside guests. She/he will also serve as a key point person in receiving information requests, external PATH /MACEPA staffs and other office visitors.

Specific responsibilities of the position include:

  • Serve as a point person for MACEPA to receive visitors, requests, gather information and draft responses as requested.
  • Provide comprehensive logistical and operational /Admin support to the MACEPA team, guests /visitors and consultants in areas such as: vehicle needs, hotel & shuttle reservations, office space and supplies
  • Work with the MACEPA and FMOH technical team to support field activities for surveillance, malaria test and treat campaigns, and other operational research activities
  • Assist in the planning and coordination of the project implementation and progress such as assembling, duplicating, binding and dissemination of periodic reports, presentations, communication and advocacy materials, abstracts and journal articles
  • Facilitate in the translation of project documents and materials to local languages needed.
  • Manage routine correspondence, including faxes and manage delegations as per auto-reply emails
  • Schedule and coordinate arrangements for conferences and workshops, draft invitations to participants, monitor RSVPs, disseminate agenda and proofread workshop documents, manage registration of participants, writing of minutes/ proceedings of the event, hotel room /hall & shuttle arrangements for participants and other materials /services needed
  • Establish and maintain appropriate MACEPA project specific hardcopy and softcopy file management and archiving system
  • Maintain and update appropriate directory database for key partners and stakeholders including MACEPA/PATH contact list
  •  Maintain calendar for MACEPA project activities in coordination with other team members, send reminders on upcoming events
  • Assist in the processing of disbursements /payments for suppliers, consultants, staff travels and others together with the PADM and PATH finance team.
  • Handle project specific training and workshop /Meetings activity payments and provide backup support for project team members during the event
  • Handle the proper keeping and maintenance of the general office space, office furniture and equipment in collaboration with the country program team
  • Participate in the annual physical inventory of MACEPA fixed assets together with the country program team.
  • Document project activities and follow up on the delivery /distribution of supplies ordered to partner organizations and project beneficiaries and on payments to be made for the suppliers
  • Collect and analyze performa with country program team; handle custom clearance of imported items together with PATH assigned transistor
  • Manage the replacement, repair and return of supplies (especially mobile phones and SIMs) given to surveillance assistants and monitor the cost of mobile phone used for rapid reporting in collaboration with demonstration Health  district Heads and MACEPA Zonal & Regional Surveillance officers.
  • Manage the distribution of MACEPA project specific supplies to staffs and to project specific operations.
  • Follow up the work schedule of MACEPA’s work plan using Microsoft project software; includes reminders for each responsible person handling the activity.
  • Facilitate EVDO recharging and the timely preparation and submission of time sheet for all MACEPA team at the central office, Regional & Zonal level and forward it to finance for monthly payroll processing
  • Perform other duties as assigned by the immediate supervisor.

Required skills:

  • Excellent verbal and written communications skills in Amharic and English
  • Highly organized, flexible, and adaptable to changing priorities
  • Work well under deadlines
  • Work in team situation with minimum supervision
  • Excellent computer skills using MS Word, Excel, Access, power point and outlook must have demonstrable ability to format and scan documents, prepare presentations and use advanced calendaring and email management strategies.

Required Experience

Bachelor’s degree in business Administration or management, plus three years directly related professional administrative experience (with health background and health related projects are preferred). Experience in a Non-Governmental organization (NGO) is required.
